Unit V · Writing skills

The official heading is Writing skills: paragraph writing (descriptive, narrative); letter writing (formal/informal, emails); notices and posters; report writing (event summaries, incident reports). This is written-verbal communication. Unit IV taught you to take meaning off a page; this unit puts meaning on one for a named reader. Speaking the same jobs was Unit III.

Layout follows Kumar–Pushpalata. Ellis and Denny supply the professional test: can the reader act? Models are classroom pieces (Anil Sharma, roll 2145, Bikaner) for MCQ stems, assignments, and the 500–800 word project. Do not copy a published letter. Use the skeleton and your facts.

1 Paragraph writing — the frame, then descriptive

A paragraph is a group of sentences on one idea. Kumar–Pushpalata share the frame: a topic sentence that names the idea; support (detail, example, sense-picture); a close that does not start a second topic. Unity means every line belongs. Coherence means the lines walk in order (time, space, or logic). The 7 Cs still bind: concrete names beat “very very beautiful.”

The PDF asks two kinds. A descriptive paragraph shows a place, person, or object so that a reader who was not there can see it. Use the senses and still facts: the reading room’s eighty seats, the rack by the door, the quiet after four. Do not turn description into a story of what you did all week — that is narrative, next lesson. Do not turn it into a notice (Unit 5 later) or a definition (Unit 4 academic).

Length for a college assignment: one tight paragraph, or two if asked. Internal MCQ may only ask what a topic sentence does. A project paragraph must still have unity. The model below is classroom prose, not a copied page.

The college reading room after four o’clock is a different room. Eighty seats sit in rows, but only the exam groups remain, and the fans are louder than the talk. Newspapers in Hindi and English wait on two shelves near the door; bags stay on the rack, not on the desks. Light from the courtyard tree falls on the last table, where a sparrow sometimes lands on the sill and then leaves. The librarian’s stamp is the only clock that still sounds.

Topic: the room after four. Support: seats, fans, papers, rack, light, stamp. No second topic (no life-story, no rules list).

वर्णनात्मक कक्षा-अनुच्छेद · एक स्थान, इंद्रियाँ प्लस तथ्य

2 Narrative paragraph

A narrative paragraph tells a short sequence of events. Time-order is the spine: first, then, after that, finally. Past tense is the default for a completed incident. A person does something; something happens; the paragraph closes on the end of that small story, not on a moral speech. Kumar’s classroom narrative is a page of what occurred, not a novel.

Keep one thread. If you start with a missed bus, do not jump to childhood. Dialogue, if any, is a line or two: a narrative may quote a shout. Description may colour one moment (the heat on the stand) but must not steal the sequence. An incident report (last lessons) uses narrative facts in a formal file; this paragraph is the human telling of a short event.

I reached the bus stand at 15:25 for the Jaipur express and stood at gate 4 because that is where the morning bus had left. At 15:28 the loudspeaker said gate 6. I ran with the bag hitting my knee, showed the ticket, and sat down as the engine started. The ordinary Nagaur bus, still at gate 2, pulled out behind us. I had heard the announcement this time.

Narrative spine: 15:25, wrong gate, announcement, run, seat, contrast with gate 2. Close on the listening lesson, not a speech on life.

3 Formal and informal letters

A letter is written-verbal communication to a named reader. The PDF: formal / informal, and emails (next lesson). Kumar keeps one skeleton for formal letters: sender’s address and date; receiver’s designation; subject; salutation; body (purpose first, then facts, then request); complimentary close; name. Unknown name: Dear Sir/Madam and Yours faithfully. Named person: Dear Dr Sharma and Yours sincerely.

An informal letter to a parent or friend keeps the date and a greeting (Dear Ma, Hi Meena), a warm body in short paragraphs, and a close (Love, Yours, Take care). It may narrate. It must still be complete if it asks for something (date of return, money, notes). Formal dress on an informal letter is stiff; informal slang in a leave-letter to the Principal is a courtesy failure.

One letter, one main job. Leave, complaint, request, invitation, thanks. Numbers and dates in full. Do not write the 7 Cs as a list inside the letter; use them.

नामित: Dear Dr Sharma, Yours sincerely।

4 Emails

An email is a letter on a digital channel (Unit I’s third type). Add a subject line that names the job; never leave it blank; never use only “Hello.” The body still opens with purpose. Short paragraphs. A formal mail uses Dear Sir/Madam and Yours faithfully (or a named Dear… and Yours sincerely). An informal mail may open Hi Meena and close Thanks — but it still needs a subject line, a date if it asks for something, and one clear request. File names, roll numbers and paper codes belong in the mail, not only in your head.

One mail, one main request. No ALL CAPS. Never send a whole complaint without a date. Reply-all only when everyone must see the answer. The college Google Form is a different digital tool — a quiz, not a letter. A project submission mail is a formal email with the file attached and the option named in the subject.

5 Notices

A notice is a short public written message for a group, usually on a board or a website. Purpose: inform and instruct. Kumar: the word NOTICE at the top; issuing body; date; a heading; the facts (what, when, where, who); what to do; signature and designation. Completeness is the whole art. “Meeting tomorrow” is not a notice.

Third person or impersonal. No Dear Sir. No slang. Future time for coming events. One notice, one event. A notice is not a poster (next lesson): a notice must still be readable as sentences or tight lines of fact; a poster may shout with layout. A notice is not a report: it tells what will happen or what the rule is, not a full past inspection.

6 Posters

A poster is a visual public appeal: few words, large layout, one action. Purpose is often to persuade (blood donation, a play, a lost bag) and also to inform. Hasson’s connecting skill here is the hook: a reader walking past must get the job in three seconds. Crystal would call it language plus design. Completeness still matters: date, place, contact — or the poster is only decoration.

Write for the wall: a headline; two or three supporting lines; a command or invitation; a contact. No paragraph of seven Cs. No letter salutation. Imperatives are allowed: Donate. Register. Return to Room 12. A classroom answer can describe the layout in words if you cannot draw: “Headline in the centre; date in bold; college name at the foot.” Do not copy a brand slogan from the town; invent a line that fits the event.

7 Reports — event summaries

A report is a factual account for a reader who was not there. The PDF splits two jobs: event summaries and incident reports. Kumar: To / From / Date / Subject; introduction; findings or account in order; conclusion; recommendations if asked. Third person or impersonal. Past tense for a completed event. Opinion labelled as recommendation.

An event summary covers a planned happening: a camp, a guest lecture, a match, a cultural day. Who organised, when, where, how many, what happened in time-order, any problem, thanks if due. It is not a diary of feelings and not a poster. The college project option “report writing on real-life events” is this lesson at 500–800 words: same skeleton, more findings. Keep names and numbers exact.

प्रतिवेदन उस पाठक के लिए तथ्यात्मक लेखा है जो वहाँ नहीं था। PDF दो काम बाँटता है: घटना-सार और दुर्घटना-प्रतिवेदन। Kumar: To / From / Date / Subject;

8 Incident reports

An incident report records something that was not the plan: a fall, a leak, a lost bag, a fight, a fire alarm. Completeness is legal as well as courteous: when, where, who was present, what was seen (not guessed), what was done at once, who was told. Do not invent a cause you did not see. Do not blame in adjectives (“stupid carelessness”) — state the act. Recommendations, if asked, come after the facts.

Tense: past for what happened; present for a still-true state (“The cooler still leaks”). Names and times exact. If you did not see a part, write “not known” or “reported by…” The narrative paragraph of lesson 2 can feed this file, but the file drops “I felt.” The college may accept this as the project if the event you observed went wrong; still keep the report frame, not a story-essay.
