Unit I · Orientation

This unit is the door of the paper. The official heading is Orientation: importance and purpose of communication; types (verbal, non-verbal, digital); essentials of communication; barriers and strategies to overcome them. Listening, speaking, reading and writing sit in Units II–V. Here you must be able to define communication, walk the process, name why it matters, sort a message by type, list the 7 Cs, and match a barrier to a repair.

Classroom lines follow the official Suggestive Readings: Gill Hasson, Brilliant Communication Skills (Pearson Life, 2011); Sanjay Kumar and Pushpalata, Communication Skills (Oxford Press, 2011); David Crystal, A Little Book of Language (Orient Blackswan, 2010); Richard Denny, Communicate to Win (Kogan Page India, 2009); Owen Hargie, The Handbook of Communication Skills, 3rd ed. (Routledge, 2006); Richard Ellis, Communication Skills: Stepladders to Success for the Professional (Intellect, 2020); and Effective Communication Skills (Arnold Woolf, 2024).

Pushpalata, Communication Skills (Oxford Press, 2011); Crystal, A Little Book of Language (2010); Denny, Communicate to Win (2009); Hargie, The Handbook of Communication Skills (2006); Ellis, Communication Skills (2020); तथा Woolf (2024)।

1 What communication names

Communication is the two-way process of sharing information, ideas, feelings and meaning so that the other person can understand and, if needed, reply. Kumar and Pushpalata treat it as a circular activity, not a one-way dump: a message is sent, received, interpreted, and answered. Hasson’s classroom line is simpler still: communication is how people connect. Hargie treats it as a skill — something practised, not a talent you either have or lack. Crystal reminds you that the tool of that skill is language (speech, writing, and now the screen), but a look, a silence, or a late reply is communication too.

Two cheap substitutes must be refused on this paper. Communication is not the same as information: a notice on a wall is information; communication begins when someone reads it and can act, or ask. It is not the same as talking a lot: Denny’s point in Communicate to Win is that the speaker who never checks the listener has not won the exchange. Kumar’s picture: sender and receiver share a code; without a shared code there is noise, not meaning.

A usable definition: communication is a two-way, purposeful exchange of meaning through a chosen channel, completed by feedback. Example: a teacher explaining this unit; a student asking for a day-pass; a WhatsApp confirming the bus time. Listening, speaking, reading and writing — Units II–V — are the four doors of the same house. This unit names the house.

2 The communication process

Kumar–Pushpalata draw a cycle. A sender (source) has an idea. Encoding turns that idea into a code the other person can take in — words, a gesture, a file. The message is what is sent. The channel (medium) carries it: voice, paper, phone, screen, face. The receiver gets it and decodes it — turns the signs back into meaning. Feedback is the receiver’s return signal: a nod, a question, a reply-mail, a ticket bought. Without feedback the sender cannot know if the meaning arrived. Noise is anything that distorts the message on the way: a fan, a wrong word, anger, a weak network. Ellis’s “stepladder” is this cycle practised until it is reliable at work.

The classroom model is two-way: both persons send and receive, often at the same time (a conversation). A notice on a board is closer to one-way until someone asks or acts. Encoding fails if you choose words the receiver does not know. Decoding fails if the receiver guesses instead of checking. Each person’s knowledge, attitude and culture sit inside the box: the same “Friday” can mean this week or next.

Walk one college example through every part. Sender: the clerk. Idea: the scholarship form closes on Friday. Encoding: a short Hindi–English notice. Channel: the notice-board and a WhatsApp class group. Receiver: you. Decoding: you read “Friday” as this week. Feedback: you submit the form, or you ask “which Friday?” Noise: a torn corner that hid the date; a joke in the group that buried the notice. The named parts are sender, encoding, message, channel, receiver, decoding, feedback, noise.

3 Importance of communication

Importance is why this two-credit course exists. The official objectives name three rooms at once: academic, professional and personal. Hasson puts relationships first: without communication a family, a class, or a team is only a list of people in one place. Denny writes for work: the person who can explain a request, hear a client, and close a call is employable. Ellis treats communication as a professional stepladder — each rung (listen, speak, write, present) lifts the next job. NEP 2020 and the UGC skill-framework, cited on the PDF, ask for that employability.

Five classroom reasons, each with a picture from daily campus life. Study: a lecture, a notice about internal marks, a question in class — without shared meaning the later units have nowhere to sit. Work: interviews, a short presentation, and a clear request to an office. Citizenship: a railway announcement, a civic notice, a news report. Digital life: the syllabus names digital environments; a forwarded rumour without a check is failed communication. Multicultural rooms: Hindi, English, and a home language share this campus; courtesy and a clear code prevent a cultural barrier (named later in this unit).

Importance is not the slogan “communication is the key to everything.” Name a reason tied to a context: why a nurse must listen; why a clerk must write a complete notice; why a student must confirm a date.

4 Purpose of communication

Purpose is the job the message is hired to do. Kumar and Hasson both say: name the purpose before you choose the channel. Hasson adds the human purpose: to be understood, and to understand. Hargie treats purpose as what you are trying to achieve in that encounter — not a vague wish to “communicate well.”

Six purposes cover this paper. To inform: a timetable, a result, a news item. To instruct: how to fill a form; a safety line at a station. To request / ask: “When does the Bikaner–Delhi bus leave?” To persuade: a poster asking students to donate blood. To build or repair a relation: congratulations, an apology, a polite refusal. To record: a report of an event or an incident. One message can carry two purposes — a notice both informs and instructs — but one purpose should lead.

Purpose decides tone and length. Informing a clerk needs facts and a subject line, not a story. Congratulating a classmate needs warmth, not a report heading. The purpose of communication is not “communication.” Name the job: inform, instruct, request, persuade, relate, record.

5 Verbal communication

The syllabus prints three types: verbal, non-verbal, digital. Keep that trio. Verbal communication uses words — spoken or written. Kumar and Crystal both insist that “verbal” is not a synonym of “oral.” Oral is speech. Written is still verbal because it is made of words. A lecture, an interview, a phone call, a railway announcement (Unit 2), a role-play (Unit 3) are oral-verbal. A letter, an email, a notice, a report (Unit 5) are written-verbal.

Oral-verbal is fast, allows instant feedback, and uses voice (paralanguage belongs to the next lesson). It disappears unless recorded. Written-verbal is slower to produce, can be checked and filed, and is the college’s project-report mode. Hasson notes that spoken words still need a listener; Denny notes that spoken confidence without a clear request still fails. Choose oral when the job is immediate (asking a platform number). Choose written when the job must last (a leave letter).

A smile is not verbal. An email is verbal and digital at once — words on a digital channel. Kinesics and letter-layout belong to the next lessons, not here.

6 Non-verbal communication

Non-verbal communication is meaning sent without words, or beside words. Hasson’s practical rule: the body must not contradict the mouth. Kumar names the usual kit. Kinesics: body movement — posture, gesture, facial expression, eye contact. Proxemics: use of space. Four working distances: intimate (very close, family); personal (friends, an arm’s length); social (a clerk’s window, an interview table); public (a lecture hall, a platform). Standing on a classmate’s toes at the desk breaks personal space. Haptics: touch (a handshake, not a shove). Chronemics: use of time (coming late to an interview already speaks). Paralanguage: how the voice carries words — pitch, pace, pause, volume, tone. Appearance and artefacts: dress, a file in the hand, a switched-off phone on the desk.

Non-verbal can repeat the words (a nod while saying yes), contradict them (a smile while refusing), substitute for them (a pointed finger at platform 2), or regulate the turn (leaning forward to speak). Crystal treats silence and gesture as part of how language lives in a room, not as decoration. In a multicultural class, the same gesture may not mean the same thing: a head-shake is not universal. That is a cultural barrier, named later.

Non-verbal is a channel, not acting. For types of communication, keep the syllabus trio: verbal / non-verbal / digital. For types of non-verbal, list kinesics, proxemics, haptics, chronemics, paralanguage, appearance. A railway announcement’s words are verbal; the tone of the loudspeaker is paralanguage.

7 Digital communication

Digital communication uses electronic networks and screens: email, SMS, WhatsApp, a Google Form quiz (this paper’s own assessment option), a video call, and a short audio or video project. Crystal’s Little Book of Language treats screen-talk as language, not as a toy: spelling shortens, speech and writing mix, and a new audience can see what was meant for one person. Ellis and Denny both assume a professional now lives on mail and calls. The official course objective names “digital and multicultural environments” in one breath.

Strengths: speed, distance, a record (an email can be filed), many receivers at once, and the college’s MCQ-via-Google-Form. Limits: noise becomes a dead battery, a wrong group, a missing subject line, ALL CAPS that shout, a forwarded message with no source. Feedback can be delayed or reduced to an emoji that two people read two ways. Digital is not automatically clearer than face-to-face. Hasson’s rule still holds: check that the other person received the meaning, not only the file.

On this paper a digital message is often verbal + digital (words on a screen) and sometimes non-verbal + digital (a video of a skit, a tone of voice on a podcast). Using a phone is not digital communication unless a message was exchanged. Email layout is Unit V; this unit only classifies the type and names its noise.

8 Essentials of communication

Essentials are the qualities without which the cycle fails even if a message was sent. Kumar and Hasson teach the 7 Cs. Clarity: one meaning; short sentences; no fog. Conciseness: no padding. Concreteness: names, numbers, times (“Friday, 4 p.m., Room 12”), not “soon / some people.” Correctness: grammar, spelling, facts. Consideration: the receiver’s knowledge, language, and feelings (Hasson’s empathy). Completeness: who, what, when, where, what to do next. Courtesy: please, thank you, a polite refusal. Some books add coherence (parts in order) or stop at five Cs. On this paper list the seven: courtesy and consideration are the human Cs; the others are the message Cs.

Essentials also include a shared code (a language both know), a fit channel (do not put a three-page report only on a vanishing WhatsApp status), and feedback. Hargie would call these the conditions of skilled performance. Ellis repeats the same professional hygiene: be clear, be brief, be usable.

A notice that says “Meeting tomorrow” fails completeness and concreteness. A mail in ALL CAPS fails courtesy. A lecture that never checks a face fails feedback. Match the fault to one C. This paper lists seven.

9 Barriers to communication

A barrier is anything that blocks or bends meaning between sender and receiver. Kumar’s usual clusters are enough for an internal MCQ. Physical / environmental: noise, distance, a dead microphone, heat, a locked gate. Physiological: pain, hunger, hearing loss, a sore throat. Psychological: anger, fear, prejudice, inattention, selective listening (Unit 2 will reuse this). Linguistic / semantic: an unknown word, a double meaning, heavy jargon, a translation that slips. Cultural: different rules for eye contact, time, or how a refusal is said; the course’s “multicultural” line lives here. Organisational: a message stuck on the wrong desk, too many layers, no feedback path. Technological: failed network, wrong chat-group, unread mail — digital noise from lesson 7.

Hargie stresses that a barrier can sit in the sender (vague encoding), the channel, or the receiver (wrong decoding). Hasson adds emotional noise: if the face is closed, the words bounce. Crystal notes that two dialects in one room can be a language barrier without anyone “failing English.” Name the cluster; then give one picture. A fan drowning a lecture is physical. A student who has already decided the teacher is unfair is psychological. “Please do the needful” with no file name is semantic and incomplete at once.

Do not confuse a barrier with a type of communication. Digital is a type; a crashed form is a technological barrier. Non-verbal is a type; a contradictory face is a barrier inside that type. Unit 2’s barriers to listening are a special set of these — keep the general list here, the ear-list there.

10 Strategies to overcome barriers

A strategy is a planned move against a named barrier, not a slogan. Hasson: listen first, check meaning, keep the body congruent. Hargie: prepare, watch feedback, adjust. Denny: say what you want in a usable request. Ellis: climb one rung at a time instead of dumping a whole report on a tired listener. Kumar’s classroom list is below.

Against physical noise: change the room, the time, or the channel (a written notice if the loudspeaker fails). Against physiological limits: shorter turns, a written support, a front seat. Against psychological noise: delay a hot reply; use consideration and courtesy; ask, do not assume. Against linguistic barriers: simple words, one term for one thing, examples, a bilingual gloss where the campus needs it. Against cultural barriers: learn the other rule; do not mock a silence or a form of address. Against organisational barriers: one clear owner of the message; a deadline; a feedback path (“reply by 4 p.m.”). Against technological barriers: a second channel (SMS after mail), a subject line, a file name, a confirmation.

The cheapest strategy on this whole paper is feedback: “Did you get Friday, Room 12?” Completeness plus a check beats a beautiful paragraph that nobody decoded. Match barrier → move. If a project asks for a short video, show one barrier and one repair.
